The Town of Wellington Parks and Recreation Department is currently searching for a qualified photographer interested in supplying photography services for youth sports beginning February 11
th
, 2023. Programs include Coed Volleyball, Coed Basketball, Coed Soccer, Coed Flag Football, and Coed T-Ball and Baseball. Below is a chart of each sport and the corresponding season in which it is played.

CONTRACTOR RESPONSIBILITIES
-
Work with recreation staff to schedule team and individual picture days during each sports season. Ideally, picture day should be held during the second week of league play.

Supply
sufficient staffing and equipment to complete all team and individual photos promptly. All games for each specific sport will be played at the same location.

Return all photos to the Recreation Department for distribution PRIOR to the end of the season. This will allow 2-3 weeks for photo processing -or- Contractor may mail purchased photographs directly to players.

All photo packages and options (individual, team, digital, etc.) and associated fees per participant will be set by the photographer. This form will be given to the Recreation Department before the photographer distributes it, via email, to team coaches.

The photographer handles collecting all monies from purchases in whatever form they consider fit (cash, check, Venmo, Square, etc.) at the time the photos are taken.
RECREATION DEPARTMENT RESPONSIBILITIES

The Recreation Department will provide the photographer with the recreation league game schedule before the sports season starts.

Supply
space to take photos at game location on game day either before the game starts or after the games end.
-
Provide information, in collaboration with the photographer, about registration and picture schedule to each player’s parent/guardian.

Distribute photographs to players once the photos arrive from the photographer.

Qualifications:

QUALIFICATIONS/REQUIRMENTS
1. Ability to obtain a Town of Wellington business license.
2. Proof of insurance including Business Liability.
3. Samples of work displayed such as registration form(s) and a list of package options and pricing.
4. Proof of liability insurance (Town of Wellington to be added once contract is signed).
5. Letter of interest including
a. Name of applicant
b. Contact information (including phone number and email address)
c. Statement of interest
d. Statement of ability to provide needed services addressed above in “Contractor Responsibilities”
6. Proposal Letter must be either:
a. Delivered to the Town of Wellington 8225 3rd St. Municipal Building in a sealed envelope with the following on the front of the envelope:
i. Name and address of applicant
ii. The phrase “RECREATION PHOTO PROPOSAL”
-or-
b. Emailed to recreation@wellingtoncolorado.gov
i. Subject Line: PHOTO PROPOSAL
7. The photographer is fully responsible for ensuring all photos and merchandise are returned to the paying customers.
